Filing a Grievance

SolPath Wellness is committed to giving anyone affected by our work, a safe, accessible way to raise a concern and get a fair, timely response.

Whether you are an employee, contractor, client, community member, supplier, or partner, our grievance procedure is here to accept feedback on how we conduct business.

This procedure explains how to file a grievance, what happens after you do, and how we protect you from retaliation for speaking up.

1.Who Can Use This Process, and Reasons to Raising a Concern

Any stakeholder may file a grievance, including:

  • Employees and contractors

  • Clients and their families

  • Community members

  • Vendors, suppliers, and partner organizations

Grievances may relate to, for example:

  • Workplace conduct, harassment, or discrimination

  • Health and safety concerns

  • Compensation, benefits, or working conditions

  • Ethical, environmental, or social-impact concerns

  • Concerns about how SolPath treats clients or the community

  • Retaliation or fear of retaliation for raising a prior concern

2.Guiding Principles

  • Confidentiality — Information is shared only with those who need it to investigate and resolve the grievance.

  • Non-retaliation — No one will face negative consequences for raising a grievance in good faith, even if the grievance is ultimately not substantiated.

  • Impartiality — Whoever reviews a grievance may not be the subject of it or have a conflict of interest; if they do, the case is reassigned (see Section 6).

  • Good faith — SolPath assumes grievances are raised honestly and responds to every one, even anonymous submissions, to the extent possible.

  • Timeliness — Every grievance is acknowledged, investigated, and resolved within the timeframes in the Process & Timelines section below.

3. How to File a Grievance

Grievances can be submitted through any of the following channels:

  • Grievance form (paper or online) — see accompanying Grievance Form

  • Email: [insert dedicated grievance email address]

  • In person or by phone to [insert name/title], or to any manager if the concern involves that contact

  • Anonymously — leave contact information blank on the form
